ITS solution among the finalists of the IT project of the year!

The Czech Association of Information Technology Managers (CACIO) organizes an annual competition IT Project of the YearThe aim of the competition is to recognize the best projects of development, implementation of information technologies, quality and benefits of IT projects. Participation in the competition is open to individuals, enterprises, institutions, corporations, associations or any other entities, including government organizations.

This year's 22nd edition of the competition saw some very strong projects and we are delighted that the EFORMS solution from the ITS development workshop for the client Tesco, created in close collaboration with the client, has been shortlisted. This placement in itself makes us very happy and we especially appreciate the honorary award of Ing. Jiří Polák "For innovative and highly successful approach to the adaptation of new technologies", which went to the hands of ITS representatives at the gala dinner held at the end of March.

And with what, that we succeeded in this competition?

The EFORMS project

The EFORMS project was initiated to streamline HR processes for Tesco employees in the Central Europe region (Czech Republic, Slovakia, Hungary), where Tesco currently employs 40,000 employees. The aim was to enable employees themselves to communicate with the HR department via self-service HR forms, accessible from anywhere in the Tesco environment and even the Internet - quickly, conveniently, intuitively and with a responsive design. The solution also needed to be designed to meet all security and legislative requirements, led by GDPR, with respect to sensitive employee personal data.

Employees can now perform tasks independently, which significantly reduces costs, significantly speeds up the request process and frees up store managers to manage operations. In addition to active employees themselves, self-service is also available to mothers on maternity leave and employees on long-term sick leave.

The delivered tool not only accelerated processes, but also brought incredible flexibility by universally setting up workflow forms and automating some processes. The whole process is transparent to both staff and Tesco and communication with processors is seamless. Thanks to its intuitive use and easy accessibility (from any work or personal smart device - tablet, PC or phone 24/7), the portal has started to be massively used by employees without the need for any extra training costs and we have had very positive feedback on it. This project has proved to be a real step forward in Tesco's HR technology.

As one of the leading retail chains in the Central European region, Tesco serves millions of customers every week in stores and online in the Czech Republic, Slovakia and Hungary. The project of electronic processing of employee HR documents has brought significant simplification of HR administration processes, enabling nearly 40,000 employees at Tesco stores, distribution centres and headquarters in each country to focus on serving customers instead of an inefficient process requiring face-to-face interaction or a visit to the HR department. The project works on the basis of a simple web interface, is very easy and intuitive to use and is available at any time, which has increased efficiency and transparency and reduced costs in the management and administration of HR administrative matters.
